Terms of Service

Here’s how we work. These terms cover every photography and videography booking with Event Photography NYC, and they take effect once you place a deposit. Nothing here should be a surprise, but if anything is unclear, ask us before you book.

Booking and Payment

To hold a date, we ask for a deposit of 50% of the quoted total. We can’t hold dates without it, since we turn down other work once a date is booked.

The remaining balance is billed on the day of your event and is due on receipt, unless we’ve worked out something different with you in writing.

The rate you’re quoted is the rate you pay. If coverage runs past the window you booked, those extra hours are billed at our standard hourly rate.

Cancellation

Deposits are non-refundable. By the time you book, we’ve already turned away other work for that date.

If you need to cancel within seven days of the event, the full balance is still due. Cancel with more than a week’s notice and you owe nothing beyond the deposit.

Rescheduling

Plans change, and we get it. You can move your date once at no extra cost, as long as the new date is open on our calendar. Your deposit comes with you.

If we’re already booked on the date you want, we treat it as a cancellation under the terms above.

Copyright and Usage Rights

We keep the copyright to the work we produce. You get full usage rights to everything we deliver, unless we’ve agreed to something different in writing. In practice that means you can use your photos and video however you like.

We also like to show our work, so we may use selected images from your event in our portfolio and marketing. If that doesn’t work for your event, just let us know before the date and we’ll note it on your agreement.

Delivery

You’ll have your gallery within three to five business days of the event.

Need it faster? Expedited editing is often possible, but it depends on our schedule and costs extra. Ask us before the event so we can plan for it. We can’t promise a rush turnaround after the fact.

File Hosting and Archival

We host your gallery for six months from the delivery date. Please download and back up your files during that window.

After six months, files move to archive and we can’t guarantee we’ll be able to restore them. If we can, there may be a fee.

What We Need From You

We’ll need access to the venue and any credentials required to work on site. If we’re held up getting in, that time still counts against your coverage window, so it helps to sort this out ahead of the event.

If there are guests who shouldn’t be photographed, tell us in advance and we’ll work around it.

Liability

Our liability for any booking is limited to what you paid for it.

There are also things we can’t control, like venue restrictions, power or network failures, weather, or government action. We’re not liable for those.

Governing Law

These terms are governed by the laws of the State of New York.
