For most conferences, the marketing team ends up needing both — and clients who book them together usually use them differently. Photography goes into the recap email, the press release, the LinkedIn post, the deck for next year’s sponsors. Video does the heavier emotional lift: a 60-to-90-second highlight reel that shows the room, the speakers, the reactions, and the scale of the event in a way photos can suggest but can’t quite prove.

The two deliverables conference clients ask for most often:

How quickly will I get the photos?
Standard turnaround is 3 to 5 business days. If you need images sooner — for a press release going out the next morning or a recap email by end of day — same-day editing and rush delivery are available as add-ons. We’ll flag the recommended option when you book.
Can one photographer cover an entire conference?
For single-track conferences up to around 300 attendees, one photographer can usually cover everything that matters. For larger events or anything with simultaneous breakouts, a second photographer is the difference between getting the moment and missing it. We’ll tell you honestly which one your event needs.
Do you photograph keynote speakers specifically?
Yes — and the goal isn’t just “speaker at podium.” A good keynote set includes the wide establishing shot, tight portraits during delivery, the gesture or expression that captures the moment, and the audience reaction that proves it landed. Press teams use the first kind. Marketing teams use the rest.
Do you cover panel discussions, fireside chats, and industry forums?
Yes. Panel discussions, fireside chats, and industry forums are some of the most common conference-format events we shoot. Coverage includes wide stage shots of the full panel, tight portraits of individual panelists during delivery, audience engagement and Q&A moments, networking and reception coverage between or after the program, and any speaker portraits or breakout sessions on the agenda. What venues in NYC have you worked at?
We’ve shot at most of the major Manhattan conference venues — Javits, Marriott Marquis, Conrad New York, Convene locations, and a long list of hotel ballrooms and event spaces. Familiarity matters: faster setup, fewer surprises with lighting, and we usually know the venue staff already.
Do I get full usage rights to the photos?
Yes. Every conference client gets full rights for marketing, PR, internal communications, social media, and editorial use. The only ask is photographer credit if images go to press outlets, which is standard.
How far in advance should I book?
Four to eight weeks ahead is ideal, especially for the busy stretches — September through November and March through May fill up fastest. Last-minute is sometimes possible; the only way to know is to check the date.
